Define the HVAC data controls before approving a pilot.

Turn a promising evaluation into a reviewable purchase by documenting the exact dataset, evidence, permitted use, transfer method, access, retention, deletion, acceptance test, remedy, and change process.

This checklist helps a buyer prepare internal questions; it is not legal advice, a contract, or a statement that any specific control or commercial term is currently available. Confirm the final scope, license, security responsibilities, price, remedy, and order terms in writing before receiving data.

1Identify the buyer, owner, and decision

Record the buying company, responsible business owner, procurement or legal reviewer when applicable, decision date, budget status, and intended business outcome. Name the team that will receive the file and the person authorized to approve the acceptance result.

Keep exploratory interest distinct from an approved pilot. A submitted request does not reserve inventory, establish availability, or create an order.

2Attach one exact data scope

Put the HVAC inclusion and exclusion rule, geography, company-versus-location unit, requested volume, required fields, file format, and duplicate treatment in one versioned scope. Define how multi-trade businesses, franchises, branches, and uncertain classifications are handled.

Reference a dated coverage brief or reproducible query result for that exact segment. Do not substitute a website total, synthetic example, or result from another segment.

3Separate evidence from claims

List what evidence accompanies each field or row review, including source type, observation date, blank handling, and conflict state where relevant. State which measures describe field presence and which describe sampled correctness.

A directory record does not prove current operation, buying intent, consent, deliverability, or permission to contact. If a downstream decision needs another fact, define its evidence separately.

4Write the permitted use and exclusions

Describe the approved internal use, such as territory planning, CRM matching, or account research, and identify the teams and systems allowed to use the file. Document prohibited or out-of-scope uses, onward sharing, resale, enrichment, and automated-contact decisions.

Confirm that the requested fields are business firmographics needed for that use. Do not request sensitive personal data or assume that business-directory data carries consent or outreach permission.

5Agree on transfer and access

Before delivery, document the approved transfer channel, named recipient, access boundary, storage location, and whether the buyer will provide any comparison data. If buyer data is involved, specify the minimum fields, authorized handlers, and separation from unrelated systems.

Do not place passwords, financial information, sensitive personal data, or confidential buyer records in a public form. Confirm operational security details through an appropriate private channel.

6Set retention, correction, and deletion rules

Define how long the evaluation copy and any buyer-supplied comparison data may be retained, who can request a correction, how a disputed row is traced, and when working copies and transfers are deleted. Assign responsibility for confirming completion.

Preserve only the lineage needed to reproduce the evaluation or address a dispute. A future update should have its own date and version rather than silently replacing the evaluated file.

7Lock the acceptance test and remedy

Specify the sample method, denominators, evidence sources, review states, numeric thresholds, reviewer, deadline, and treatment of blanks, conflicts, duplicates, and unverifiable rows. Record the agreed remedy or review path for a failed threshold before delivery.

8Control changes and expansion

Require a new written scope when geography, HVAC definition, fields, volume, permitted use, recipients, or evaluation method changes. Record who approved the change and which coverage evidence, quote, or terms it supersedes.

Expand only after the buyer confirms that the tested segment meets the agreed rules. Treat renewal, refresh, or recurring work as a new dated decision unless the written order says otherwise.
