A longer field list is not automatically a better dataset. The proposed schema contains eight firmographic fields: business name, business phone, street address, city, state, ZIP code, normalized industry, and website. These describe companies or locations—not people, consent, intent, deliverability, or contact permission.
1For territory planning, prioritize location and classification
Start with business name, state, and normalized industry. Add city and ZIP code for sub-state boundaries. Add street address only when the job requires location-level mapping or duplicate review.
Document the HVAC inclusion rule, treatment of multi-trade companies, location unit, and per-field presence rates. A state code alone cannot establish whether a row represents a headquarters, branch, service area, or another location concept.
2For CRM matching, choose comparison keys
Business name and website can support company-level comparison. Street, city, state, and ZIP can distinguish locations with similar names. Business phone may provide another comparison value, but it is not proof of reachability or permission to call.
Before transferring buyer CRM data, agree on minimum necessary fields, secure transfer, retention, deletion, normalization, and the review method for ambiguous, many-to-one, and one-to-many matches. 3For account research, separate discovery from verification
Business name, normalized industry, geography, and website can form a starting universe for company research. A listed website does not prove ownership, current operation, or commercial fit. Do not infer a decision-maker, intent, consent, or channel permission from a directory row.

4Define every requested field in writing
Specify each field’s format, whether blanks are allowed, what entity it describes, and what counts as passing. Keep ZIP codes as text to preserve leading zeroes. Define whether names represent locations or legal entities and whether websites use domains or homepage URLs.

5Measure presence separately from correctness
A nonblank value and a correct value answer different questions. Request a dated presence rate for the exact segment, then define a reproducible sample and row-level evidence rule. State the denominator and treatment of blanks, duplicates, ambiguous classifications, and unverifiable rows.
